Add the job title or company when you are tailoring for one application (Maria-Gonzalez-Resume-Data-Analyst.pdf). Use hyphens or underscores instead of spaces, keep it under about 50 characters, and never send a file called resume.pdf, Resume_final_v3.docx or Document1.docx. Why does the resume file name matter?
The file name is the first thing a recruiter sees when they download your application, and it stays with the file in every inbox, shared drive and applicant tracking system it passes through. A clear name:
- makes your resume easy to find among dozens of files called "resume.pdf";
- shows attention to detail before anyone opens the document;
- avoids leaking drafts and version history ("_old", "_v7", "_for_Amazon" when you are applying to Microsoft).

Should you use spaces, hyphens or underscores?
Hyphens or underscores are the safer choice. Spaces usually work, but some upload forms, email systems and links convert them to "%20" or reject them. Pick one separator and use it consistently. Avoid special characters (# & % / \ : * ? " < > |), accents that some systems mangle, and emoji.
Should you put the date or year in the file name?
Usually not. A date makes the resume look old the moment the date passes, and "2026" adds nothing a recruiter needs. Keep dates in your own file-management system, not in the name you send.
Should the file be a PDF or Word document?
Send a PDF unless the posting asks for Word (.docx). A PDF keeps your layout exactly as you designed it. Some employers and recruiting agencies prefer Word because they edit or reformat resumes; if they ask, send .docx. Never send .pages, .odt or an image file. - Maria-Gonzalez-Resume-Google.pdf sent to a different company — the most common and most avoidable mistake when tailoring.
- Nicknames or jokes — the same rule as a professional email address.
How do you rename a resume file?
- Windows: right-click the file → Rename, type the new name, press Enter.
- Mac: click the file once, press Return, type the new name, press Return.
- Google Docs: File → Download → PDF; the downloaded file takes the document's title, so rename the document first.
- Microsoft Word: File → Save As (or Save a Copy) → choose PDF and type the file name.
Tip: keep a master file and name copies per job
Keep one master resume with a private name (master-resume-2026.docx). For each application, save a tailored copy with the clean public name and the job title or company. That way, you always know which version went where — and the recruiter never sees your internal naming.
