The short answer

An ATS-friendly resume is a text-based PDF or DOCX in a single column, with standard headings (Experience, Education, Skills), contact details in the body rather than the page header, no text inside images, tables or skill bars, consistent month–year dates, and the job posting's own terms used where they are true. Format gets your resume read; keywords get it found.

Is my resume ATS-friendly? Two quick tests

ATS resume format: the rules that matter

Applicant tracking systems such as Workday, Greenhouse, iCIMS and Lever each parse files their own way, so there is no single official format. These rules work across all of them because they remove the things a parser can get wrong.

  • Do: Single column, top to bottom

    One reading order means nothing can be interleaved.

  • Do: Standard section headings

    Summary, Experience, Education, Skills, Certifications — not "My Journey".

  • Do: Contact details in the body

    Name, city, phone, email and LinkedIn as text at the top of the page.

  • Do: Title, employer and dates together

    Same date format for every job (e.g. Mar 2022 – Present).

  • Do: Text-based PDF or DOCX

    If you can select the text in your PDF, a parser can read it.

  • Be careful: Tables and text boxes

    Often read row by row or skipped; use plain lines instead.

  • Avoid: Text in images, icons or logos

    A parser cannot read pictures. Phone and email icons are fine only if the number itself is text.

  • Avoid: Skill bars, stars and percentages

    There is no word in a bar for a search to match. Write the skill.

Which layouts are ATS-friendly?

The layout matters more than the font or the color. Here are the six layouts you will see in template galleries, and how each tends to parse.

  • Single column

    Parses cleanly

    Text runs in one reading order, so parsers keep it in order.

  • Two columns

    Test before sending

    Some extractors read across both columns line by line and mix them.

  • Dark sidebar

    Test before sending

    Usually readable if it is real text; contact details in a sidebar are the usual casualty.

  • Table layout

    Test before sending

    Cells can be read row by row, splitting dates from the jobs they belong to.

  • Header graphic / logo

    Often loses text

    Text that is part of an image, or sits in the document header, may not be extracted at all.

  • Skill bars & icons

    Often loses text

    A bar or a star rating has no text a search can match; write the skill as a word.

  1. Contact details in the body

    Name, city, phone and email as plain text at the top of the page — not inside the document header, a text box or an image.

  2. Standard headings

    Summary, Experience, Skills, Education: words every system maps to the right fields.

  3. Title, employer, dates on one line

    Month–year dates in the same format for every job, next to the job they belong to.

  4. Results with numbers

    The parser doesn't care, the recruiter does: what changed because of you.

  5. The posting's wording, plus the abbreviation

    "Quarterly business reviews (QBRs)" matches a search for either form.

  6. Skills as words

    A plain list a search can match — no bars, stars or percentages.

What ATS-friendly does not mean

  • It doesn't mean a bare Word document. Bold headings, an accent color and a clean font are all fine.
  • It doesn't mean stuffing keywords. A recruiter reads the parsed text. Hidden or repeated keywords are visible to them — and hidden instructions aimed at AI screeners are a bigger risk than they are worth.
  • It doesn't guarantee an interview. Format only makes sure the system and the recruiter can read you. Whether you rank depends on how well your words match the job — see ATS keywords — and on knockout questions the employer sets.

Frequently asked questions

Is my resume ATS-friendly?

Run two checks. Scan it with a checker that reads it as plain text (the scanner on this page is free, no sign-up), and do the copy-paste test: open your PDF, select all, paste into a plain-text editor and check that every line comes out in order with dates next to their jobs. If both look clean and your headings are standard, the format is fine; what is left is matching the job's wording.

Are PDFs ATS-friendly?

A text-based PDF — one exported from Word, Google Docs or a resume builder, where you can select the text — parses well in modern systems. A scanned PDF or a PDF exported as an image cannot be read at all. If a posting asks for DOCX, send DOCX.

Are two-column resumes ATS-friendly?

Sometimes. Many parsers read a two-column PDF correctly, but some read across both columns line by line and mix them. Because you cannot know which system an employer uses, a single column is the safe choice for online applications; keep the two-column version for networking or printing.

Can an ATS-friendly resume use color and a nice font?

Yes. Parsers read text, not styling, so an accent color, bold headings and a standard font such as Calibri, Arial, Garamond or Georgia are fine. What causes problems is text that is not text: icons, images, charts and text boxes.

Should I hide keywords in white text?

No. Hidden text is extracted like any other text, so it shows up in the parsed profile a recruiter opens, and it reads as an attempt to game the system. Use the posting's terms in your real bullets and skills, where they are true.

How long should an ATS-friendly resume be?

Length doesn't affect parsing. One page is common for early-career resumes and two for experienced ones; use what your experience needs and keep the most relevant work on page one.
